Session Agreement and Policies
December 31, 2009Session Agreement:
- All subjects named on Client / Newborn Information Form have permission to participate in a portrait session with Details Portrait Art, LLC.
- The client agrees to not hold Details Portrait Art, LLC. / Dawn Doyle liable in the case of accident, injury, equipment failure and other unforeseen circumstances. Dawn takes reasonable precautions to make sessions safe for those involved, but ultimately safety decisions and the safety of the client and client’s children are the client’s sole responsibility.
- The client understands that the session fee compensates the photographer for her time and talent only. Prints will be an additional purchase, unless otherwise noted.
- Due to the custom nature of photography, all sales are final.
- The client understands that Details Portrait Art, LLC. / Dawn Doyle shall own the copyright on all images created and shall have the exclusive rights to make reproductions. Details Portrait Art, LLC. has permission to use the images for their portfolio, website, blog, marketing material, etc. without compensation to the client.
Policies
Images
All purchased images are kept on file for approximately one year from the date of your session. Non-purchased images are discarded in approximately 30 days after your gallery expires.
All mounted prints will be finished with a luster coating which will extend the life and beauty of your prints. Prints that are 11×14 and larger come are finished with a fine linen texture.
Basic retouching is included (small scars, scratches or imperfections) but anything beyond this will incur an additional fee.
All proofs can be viewed in a private online gallery for 10 days. Orders placed within the first 5 days will receive an early bird discount. A printed, spiral bound proof book is available for an additional fee.
Re-shoot
In the event that Details Portrait Art, LLC. feels a re-shoot would be in the best interest of both parties, a full or partial re-shoot will be offered at no charge.
Re-shoots do not apply to situations related to clothing choices, hairstyles, bad moods, etc. and are fully at the discretion of the photographer.
Liability is limited to the amount of the session fee/retainer.
Guarantee
In the unlikely event that you are unhappy with your printed images or products, please notify the studio in writing within 24 hours of receiving your prints. Due the custom nature of this product, all sales are final (unless there is an error on our part or the part of our labs/vendors). Please be sure you know what you are purchasing and please check over your items thoroughly immediately upon receipt as we cannot be responsible for issues not immediately brought to our attention.
Payments and Pricing
Your session fee is due prior to your session and is non-refundable. This fee covers: the initial consultation; the session time and travel (when applicable); custom editing, proofing, and the creation of a private online gallery.
All prices in effect on the date your session fee is paid shall be honored for 30 days after your session date.
Orders will not be processed until payment is received in full.
The returned check fee is $25 and the payment for this fee and the payment for your order must be replaced with cash/certified funds or credit card.
We use PayPal to process credit cards–you do NOT need a PayPal account to pay us with a credit card through PayPal.
Any orders placed after 30 days shall be priced according to the most current pricelist. Re-orders are priced at the pricelist in effect at time of the re-order. Prices are subject to change without notice.
Custom Designs
All custom-designs (cards, storyboards, collages, brag books) include 3 client-requested changes at no cost. Each additional change is $25, payable in advance of the changes being made.
Orders
Orders are sent to the lab/vendor immediately. Once processed, your order cannot be canceled or changed.
Additional orders are welcome, if they are placed more than 30 days after your session, the current price-list will apply.
Please allow 3-4 weeks (after payment is received) for delivery of your order.
Copyright
All images are registered and protected by US copyright law and may not be scanned, printed, shared or duplicated in whole or in part without the express written permission of Dawn Doyle. I understand that Details Portrait Art, LLC. / Dawn Doyle retains copyright ownership of all images and that it is illegal to reproduce them in any way (printing copies, saving, sharing, scanning, print kiosks, photocopying, downloading from the internet, etc.) without prior written permission.
Photographer
No other camera or video equipment other than the photographers’ is allowed in the photo session.
What to Expect
When you and I meet for your session, you will probably find me in jeans and tennis shoes. I do not dress up for sessions as I will be laying on the ground, climbing on chairs, and running after your toddler in order to capture that perfect image! It is important that I have the opportunity to interact with your child in order to capture natural images- I will let you know if I want your assistance otherwise try to stay on the sidelines so that I am able to keep your child focused on me. I want my subjects to be comfortable so it is important that you fill out your client information form so that I will have an insight into your child’s likes and dislikes prior to our session.
You can expect your session to last anywhere from one to four hours depending on the type of session that best suits your needs. A typical session lasts an average of1.5 hours. Large groups, newborns, and seniors tend to last longer. By allowing this time, your session will flow naturally allowing you and your child(ren) the opportunity to relax in front of the camera. I will continue to shoot until I feel we have captured the details you desire. Your session can take place at the location of your choice; your home, favorite park, or my in-home studio. There is an additional fee for travel time outside the Indianapolis area.
Newborn Session
Newborn sessions tend to take longer than your average session due to the constant breaks for cuddling, feeding, and diaper changes. You and your baby are still getting to know each other and therefore your session will not be rushed! If your session is at your home, I recommend that an hour before I arrive for our session, you raise the heat in your home so that your little one remains comfortable throughout our session. Comfortable babies sleep and many of the poses I try look best with a sleeping baby. The best time to photograph your newborn is within the first two weeks of life. If you have a scheduled delivery please book your session as soon as possible. I recommend that you wear a black shirt (if available) as I typically include mom and dad in some of the images.
Toddler Session
Older babies and children are happiest when they are well fed and well rested. It is important to schedule your session for a time that will fit well into their schedule. I suggest that your clothing choice be something that your child will be comfortable in- remember if you would be uncomfortable- chances are your child will be too. I love little “piggies” so don’t be surprised if we take off the shoes and socks! If you have a favorite diaper cover, hat, or scarf be sure to bring it to your session!
Senior Session
Senior sessions last approximately 2-4 hours with an unlimited number of clothing changes. The number of locations will vary (we may be limited due to time and weather) so if there is a specific place you are interested in, please let us know prior to your session. We will do our best to provide you with not only a unique experience but also with images that your friends and family will rave about!
Clothing Details
In the fall and winter, I love to see sweaters, corduroy, and hats as the texture looks great in print; while spring and summer are wonderful for bright cheery colors! Please contact me with any concerns. Remember- COMFORT IS KEY! Try to avoid stiff materials, scratchy lace and bulky outfits. Simple and soft is better.
- For girls, simple dresses or capris/shorts/jeans/khakis and little tops with sweet but subtle details are wonderful.
- For boys, shorts (denim or khakis), jeans or casual pants are great on bottom while casual shirts are great on top.
- Try to avoid cartoon characters and graphics, instead opting for designs that aren’t as dated.
- Off-white, cream or natural is better than bright white.
- Bare feet are great!
- For adults and families, it’s great if the clothing coordinates, although it‘s not necessary to match!
- Coordinating shades of the same colors are a good idea or at least stick with all warm colors (reds, oranges, burgundies) or all cool colors (blues, greens), etc.
- I will retouch minor blemishes and other skin issues (like infant eczema or baby acne) at no charge, so don’t worry about those.
Come prepared
Even if you feed your child right before the session feel free to bring bottles, sippy cups, snacks, etc. as they will be happier if they are given a snack/drink when necessary.
Don’t forget to pack pacifiers, blankets, changes of clothing, burp cloths, diapers, baby wipes, security objects, etc.
I do try to keep diapers, wipes, and snacks on hand in case you forget something—but there‘s no guarantee I‘ll have the right size!
Rescheduling
Should the weather take a turn for the worse, there may be the need to reschedule an outdoor session. I will contact you as soon as possible if this in needed.
Should you or your child suddenly become ill, please call me as soon as possible. There is no penalty for rescheduling due to illness. I’d rather reschedule and see you and your child when everyone is well as the session will result in better images!
